Students required to verify I-9 status before working

Dear supervisors,

According to supervisors.mit.edu, you are the supervisor for a graduate student appointed as a Research Assistant (RA), Teaching Assistant (TA), and/or Instructor G (IG) for the spring term. In mid-December, all graduate students received the notice below, asking them to verify their authorization to work. As the letter states, students are prohibited from performing RA, TA, or IG work without a fully processed and activated appointment in the MIT Atlas app.

One of your supervisees, [xxx], is NOT authorized to work at this time.

You may review the I-9 Employment Eligibility Verification status for your supervisees on supervisors.mit.edu. Dear students,

This message is being sent to all MIT graduate students for information and is directly applicable to students who currently or will have a Research Assistant (RA), Teaching Assistant (TA), and/or Instructor G (IG) appointment as a reminder: you must have a valid, active appointment before you begin performing any RA, TA, IG work.

Regardless of the intended start date on your appointment letter, you are not authorized to work as an employee of MIT until your appointment is fully processed and activated. You should verify this at the start of each appointment period (spring, summer, fall). This does not apply to students fully funded with a fellowship award, and/or who do not hold or will not hold an RA, TA, or IG appointment.You can learn how to verify your appointment status here.

There are multiple reasons why an appointment might not be active by the intended start date. One of the most common reasons is when a student has not submitted all their required paperwork (e.g., submitting both parts of the I-9 before starting to work). Regardless of the reason, you must verify that you are authorized to work before you begin working. You are prohibited from performing RA, TA, or IG work without a fully processed and activated appointment in the MIT Atlas app; doing so may result in employment-related disciplinary action.If you believe you should have an active appointment but it is not active, you should contact the Graduate Administrator for your DLCI. (You can tell your appointment is active by accessing the Funding tile in the MIT Atlas app; you will see “Active” or “Upcoming” next to it and there will not be an orange banner at the top of the screen when you click on the appointment.)

Some DLCIs have a large number of appointments to enter, so it is normal for some students not to see an active appointment until 30 days before the start of the appointment period. Please keep this in mind when communicating with your DLCI.

If you have completed all the necessary steps, but your appointment is not authorized by the intended start date, do not begin workingcontact your Graduate Administrator instead. You or your Graduate Administrator can escalate any questions or issues to gradunionquestions@mit.edu.
