Offboarding

Whatever the reason for your departure from MIT, the following protocols will guide you through the process.

Leaving MIT

  • Provide a letter of resignation to your supervisor.
  • Administrative Staff: please provide your vacation balance as of your termination date to your supervisor.
  • Work with your supervisor to determine an away message for your email before you leave.
  • Update forwarding address in Atlas.
    • If you relocate after leaving MIT, it’s your responsibility to contact MIT Human Resources at 617-253-4251 with your new address.
  • Review your benefits eligibility.
  • Credit cards, roles authorizations, and parking will be canceled on your termination date.
  • Athena accounts (email) are deactivated annually in the third week of January. Users will be notified in November prior to the deactivation. For more details, see IS&T’s FAQ regarding deactivation.
  • Your benefits eligibility will change.
  • You will be contacted by OVC HR for an exit interview.

Transferring within MIT

  • Provide a letter of resignation to your supervisor.
  • Provide your vacation balance as of transfer date to your supervisor.
  • Have your new department’s administrative officer or supervisor contact OVC HR
  • You will be contacted by OVC HR for an exit interview.

Retiring from MIT

  • Meet with a retirement benefits counselor in the Benefits Office.
  • Provide a letter of resignation to your supervisor.
  • If you are interested in retaining your full-time parking permit, contact the parking coordinator in your office to ask if you can retain the space. If you are able to retain your space, contact the Parking and Transportation Office to arrange for payment of the balance due for the remainder of the parking year. You may also terminate your full-time permit and switch to an occasional parking permit. Occasional permits must be paid for at the time of purchase.
  • Contact the MIT Card Services Office. You will need a new retiree ID card.
  • Update forwarding address in Atlas.
    • If you relocate after leaving MIT, it’s your responsibility to contact MIT Human Resources at 617-253-4251 with your new address.
  • You will be contacted by OVC HR for an exit interview.
  • Mail from the Institute will be forwarded to your home address. Mail from outside vendors will continue to arrive at your campus address and is not automatically forwarded to your home. Arrangements for mail forwarding should be discussed with your supervisor.

Exit Survey

We are interested in hearing about your overall experience within your office, OVC, and the Institute. Your feedback is very important to us. Departing employees will receive a personalized link to complete an online exit survey via SkillSurvey.

Supervisor Guidelines

  • Ask for a letter of resignation from the employee (terminating or transferring) and forward a copy of the letter to OVC HR.
  • Obtain the employee’s vacation balance as of their term/transfer date.
  • If terminating, submit the following information to OVC HR:
    • letter of resignation
    • vacation balance (administrative staff only)
    • current address
    • last day worked
    • last day paid (if different from last day worked)

OVC HR will process the termination form. In order to ensure departing employees are paid in a timely way and are removed from MIT payroll, please submit the above information at least two weeks prior to the employee’s departure or as soon as a letter of resignation is received.

  • Collect keys and, if terminating, the employee’s MIT ID.
  • Obtain voice mail and computer system passwords (not including Kerberos/email passwords).
  • Remind the employee to update forwarding address information in Employee Self Service.
  • Employees will be contacted by OVC HR to receive the exit survey.
